Last updated: June 2026
1. About this policy
The Guelph Youth Basketball Association ("GYBA", "we", "us", or "our") is a not-for-profit youth sports organization based in Guelph, Ontario. We are committed to protecting the privacy of the players, parents, volunteers, and website visitors in our community.
This Privacy Policy explains what information we collect, how we use and safeguard it, and the choices you have. It applies to this website and to the personal information we collect when you register a player, contact us, or volunteer with the association. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
2. Information we collect
Depending on how you interact with us, we may collect:
- Contact details — such as a player's and parent/guardian's name, email address, phone number, and mailing address — provided during registration or when you contact us.
- Registration and program information, including a player's date of birth, division, team placement, and emergency contact details.
- Payment information processed by our registration provider when you pay program fees.
- Technical and usage information collected automatically when you browse the site, such as your IP address, browser and device type, pages visited, and referring source, gathered through cookies and analytics tools.
3. How we use your information
We use the information we collect to:
- Register players, form teams, and run our House League and Rep programs.
- Communicate with players and families about schedules, games, practices, and association news.
- Process registration payments and issue receipts.
- Respond to your enquiries and support our volunteers and coaches.
- Operate, maintain, and improve our website.
- Meet our organizational, legal, and insurance obligations.
4. Registration & TeamSnap
Player registration and team communication are handled through TeamSnap. When you register, the personal information you provide is collected and stored by TeamSnap on our behalf and is handled under TeamSnap's own privacy and security terms in addition to this policy.
We use the information in TeamSnap only to administer our programs — to place players on teams, share schedules, and contact families. We do not sell personal information.
5. Cookies & analytics
Our website uses cookies and similar technologies to keep the site working, understand how it is used, and improve it. We may use Google Analytics and Google Tag Manager to measure traffic.
You can control or delete cookies through your browser settings. Disabling cookies will not affect your ability to register or participate in our programs.
6. How we protect your information
We use reasonable administrative, technical, and physical safeguards to protect personal information against loss, theft, and unauthorized access, use, or disclosure. Access is limited to the volunteers and administrators who need it to run the association. No method of transmission or storage is completely secure, but we take your privacy seriously and review our practices regularly.
7. Children's privacy
Our programs serve children and youth, and registration is completed by a parent or legal guardian. Personal information about a minor is collected and handled with the consent of, and through, that parent or guardian. Our website is not directed at children, and we do not knowingly collect information directly from children online.
8. Your privacy rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you or your child, and request a copy.
- Ask us to correct information that is inaccurate or incomplete.
- Withdraw your consent to certain uses of your information, subject to legal limits and program requirements.
- Ask questions or raise a concern about how your information is handled.
